COMPLETED SAMPLE REVIEW An illustrative three-center review. About this sample.
The same 40 inquiries. Different numbers of families moving forward.
Center comparison
Before centers are compared, the review confirms that each stage is counted the same way: inquiries, reached by staff, booked, completed, then enrolled. Response timing is supporting information, not a score.
| Center | Inquiries | Reached | Booked | Completed | Enrolled | Response timing |
|---|---|---|---|---|---|---|
| North Center | 40 | 34 | 19 | 14 | 7 | Median first response: 22 minutes |
| Midtown Center | 40 | 31 | 17 | 11 | 5 | Median first response: 1 hour 45 minutes |
| West Center | 40 | 25VERIFY FIRST | 12 | 7 | 2 | Not tracked: missing information, not zero |
Across all three centers: 120 inquiries, 90 reached, 48 booked, 32 completed, and 14 enrolled.
FIRST THING TO CHECK
Parents reached by staff
- OBSERVED
- West Center recorded 25 of 40 inquiries reached, compared with 34 at North Center and 31 at Midtown Center.
- NOT YET KNOWN
- Whether each center uses the same meaning of “reached,” and whether who replies or how soon they reply explains the difference.
- VERIFY NEXT
- Confirm what counts as “reached,” who replies first and how soon they reply before changing staff, scripts or the number of inquiries.
- RESPONSIBLE ROLE
- Enrollment lead + West Center manager.
- NEXT STEP
- Choose who replies first, and record how soon they reply and what happens next before bringing in more inquiries.
The difference gives us something to check. It does not tell us what caused it. Check how each center counts replies, who responds and how soon they respond before changing staff, scripts or advertising.

BOOKED: 48
COMPLETED WHEN THE SUMMARY WAS PREPARED: 32
NOT COMPLETED WHEN THE SUMMARY WAS PREPARED: 16
OF THOSE 16, WAS A NEXT ACTION RECORDED?
YES: 5
Confirm whether the action occurred. If the booking remains active, set the next step and due date; otherwise record the closed outcome.
NO: 11
REVIEW FIRST
Confirm which bookings remain active. Assign a rebooking or follow-up step only where appropriate; record the closed outcome for the rest.
BEFORE YOU ADD MORE INQUIRIES, FIND OUT WHETHER ANY EXISTING BOOKINGS STILL NEED ACTION.
These 16 bookings are already inside the process. Confirm which are still active and which are closed. For any still active, give the team an owner and next action now. If none remain open, check what happens after a consultation or whether too few parents are asking about the program.
EVIDENCE LIMIT
This sample does not show that any of the 11 would have completed or enrolled. It shows which records must be verified before the owner decides where the process needs attention or whether too few parents are asking about the program.

This is for you if…
- You run a staffed tutoring or specialty learning center.
- Parents are already contacting you, and you have room for more students or need to check how many students your team can take.
- You want to know who replies to interested families, who follows up and what happens next.
- You or a manager can put the recommended checks into use.
One staffed center or several locations. The approximate totals you already have for each center are enough to start.
Probably not a fit yet
You are a solo tutor, have no active inquiries, or cannot make time for your team to act on the findings.
BEFORE YOU SPEND MORE ON LEADS
What the review helps you check
More inquiries with nobody clearly responsible
Check who replies and follows up before bringing in more parents for the same team to handle.
Bookings left without follow-up
Find out which unfinished bookings still need a next action, so interested families do not disappear from view.
More interested families than your team can help
Check how many students your team can take before spending to attract families you cannot currently help.
What happens in 30 minutes
Walk through your current process
Tell us who responds, how families book, and what happens between the first inquiry and enrollment. No presentation needed.
Find the first thing to check
We look at the steps you already record and mark anything missing: who replies, when they reply or what happens next. We check the records before choosing a fix.
Get your one-page summary
After the call, we’ll send the first thing to check, three team checks, and one recommended next step. The summary is yours to use.

A few practical questions
What does the review cost?
Nothing. The 30-minute Enrollment Leak Review and the one-page summary afterward are free.
Do I need to prepare anything?
No presentation or perfectly organized records are needed. Come ready to describe what happens after a parent contacts you and who handles each step. Bring the approximate totals you already have. Missing information can stay marked as missing.
What data will you need?
The totals you already have for each center: parent inquiries, families reached, bookings, completed consultations and enrollments. We can also discuss how many students you can take and who follows up. Do not send parent names, student records or health information.
What happens afterward?
We’ll send your one-page summary with the first thing to check, three team checks, and one recommended next step. You can use it internally. If the review identifies a paid next step worth discussing, we will explain the specific work and price separately. No paid work is assumed.
If your team already follows up consistently and records what happens, the next step may be to check how many students you can take or how many parents contact you.
